The EC picture and buttons are extended and ugly, what can I do ?

Excel 2000 has a display problem when coming back from a 'print preview' and when the zoom of the sheet is too small. Increase the zoom of the Excel sheet to 100 % to fix the display problem.

I am unable to enter 2000 characters in the textarea 'Description of work' as foreseen. Why ?

Your textarea has been corrupted. Please take a new version of Electra and import the whole project.

My portable is today very slow, Why ?

You have a memory and resource problem after a long operation like 'import the whole project' in Electra. You should reboot the PC/portable to bring it back to a normal speed.

The formula H19 on Participant_form_4 should display the total person month. It's not the case, Why ?

1) you have forgotten to fill the "Number of productive hours per year (78)" in the sheet Participant_Form_2

2) The current participant is the coordinator, the total is the addittion of the participant sheets and the coordinator sheets.

3) Excel stop calculation on this cell, you should save your document as 'Save as your latest version' in the Electra main menu.(See FAQ 45)

4) You use a non standard configuration of Excel or Windows, please read the system requirements in the readme file and FAQ60.

5) The document you have is corrupted, take a new one and import the whole project.

Can I use Electra with Excel 2000 ?

The code has been tested with Excel 2000; only minor changes has been found. Compatibility between Excel 2000 and Excel 97 seems perfect.

I do not understand how the field Number_Of_Person_Month is calculated in sheet Participant form 2 (row 57)

This field is the sum of the person_month for all subcontractors you have entered previously and a calculated person_month for this participant following the sum of hours on the project and the number of productive hours per year.

I am copying cells and the color has changed in the paste cell.

In the normal copy/paste, you are not copying only values but the format, the validation rules and the colors. This could be a problem in the use of Electra later (file ‘corrupted’). If you are copying from any cell, use the Paste Special of Excel and select ‘Value’.

When I try to enter a figure in the 'Advance' column on the A3.2 sheet, it claims the value is over 40% when it clearly isn't.

This error message is also generated if a figure with a decimal place is entered. Ensure only integers are entered in this field; if a formula is being used, wrap it round with the INT function.

Even though I have entered the person hours AND the person hours per year fields in the Participant for 2, there is still zero person months on the A3.1

D55:H55 in the Participant form 2 sheet must be empty or have a numeric value. Space or other text characters will cause this effect.

The figures calculated on the Accompanying Measures forms 4.2 (second part of annual totals) do not agree with the totals on the A3.2 form.

This is a bug in ELECTRA AM R 2.100 and 2.101. It has been corrected in R 2.102 for AM. Download this version and import your project into it. The figures calculated for the contract in the earlier versions remain correct, it is only a presentational problem and does not affect the substance of the other forms.

ELECTRA is not working properly, the sums are wrong or I am getting error warnings. What do I do?

There are four lines of support:

  1. 1st line. Read carefully the Readme file and these FAQS.
  2. 2nd line. Import your project into a fresh version just downloaded from CORDIS.
  3. 3rd line. Check with PO and CPF guidelines that you are following the rules for completing CPFs.
  4. 4th line. Submit query to ELECTRA helpdesk.

I find that sometimes the A3 form does not reflect the same set of partners as those I have created.

This is because it is necessary to maintain the column of green cells in A3.1 manually to reflect the status of the project (see also FAQs 16 and 45).

Do I need to up grade my existing ELECTRA 2000 R2.0nn sheets to the new Release 2.100?

Yes if you wish to use the new version of the CPF's, otherwise R2.012 is satisfactory.

#REF appears in brown cells and the calculations fail.

If the above occurs it is because the sheet has become corrupted. The common reason is described in FAQ 30. However any other movement of a green cell will cause this, ie CUT and PASTE (Copy and Paste is OK), Drag and Drop and Deleting/Inserting cells will all affect the address of the cells and hence lead to #REF appearing in equations. The best solution is to import the project into a fresh instance of ELECTRA.

Even though I put 'Y' in answer to the question whether I have an 'extension sheet', the data from the extension is not carried forward into the total calculations.

This is normally due to the extension sheet becoming corrupted; if so it will be necessary to delete the sheet and then recreate it, or import the project into a fresh instance of ELECTRA. - see FAQ 48 for possible causes.

After importing a full project, not all the annual table spreadsheets appear.

By launching ELECTRA from the 'A0' sheet and then quitting, this will cause the sheets to appear

Not all cells are always calculated properly when I press the F9 key.

This occasionally happens when Excel appears to lose track of some cells that need calculating. It is corrected by saving the file as the 'Next Version' from the ELECTRA main menu.

When importing from Release 1.31 to ELECTRA 2000, the Total cost figures are OK but the EU Support figures are wrong.

This is a result of the import of Durable equipment information. The data is different between the two releases. It is necessary to re-insert the 'Project month' of purchase in the new forms to allow the correct calculation of durable equipment to be made. This is partially corrected in version 2.012 where all the durable equipment costs are defaulted to the first year and will require manual updating.

With Month 0 in the durable equipment purchase month column, the figures are not carried forward to the Durable equipment totals.

The import process can cause a Text character 0 to be inserted in the column rather than a number value of zero. Overtyping with the month number solves the problem.

When I start ELECTRA it indicates a run time error concerning incorrect passwords.

Check that you are operating on the correct supported platform and that the 'Shared Workbook' option has not been selected for your workbook (use of the workbook with the 'My Briefcase' system can set this).

With the Take Up Measures sheets, why is the support for the various cost categories zero?

Each cost category must have its own % support allocated, either 0%, up to 50% or up to 100% depending on the type of Take Up action. see your PO for specific figures. See also FAQ 37.

How do I enter the percentage support figures for Take-Up actions ?

Each cost category for each partner has its own percentage figure associated with it at the top of the local table. The percentages for Personnel costs and Overheads are entered at the bottom of the Participant Form 3.

Why do the totals on the 8.3 form not reflect the sum of the figures on that sheet?

Because the sum on the bottom includes the personnel costs, the Durable equipment spread across the three years and in the case of Additional Cost partners the overhead allowance <= 20%.

When I reduce the value of an AC partners costs by 5000 euro, more than this is subtracted from the total

This is because the total figures on the 8.3 form contain all elements of the costs including the Fixed overhead element which also decreases when the direct costs decrease.

I have different results after importing from 1.31

One possibility is that an old version with some minor mathematical errors has been corrected or - more commonly the orange cells have been overwritten by a formula instead of fixed values. In this case ELECTRA cannot detect the difference between a correct and an incorrect formula and so ignores the new one and leaves the original in place. These need to be replaced by the fixed value in the original or the formula in the new ELECTRA.

I still keep getting requests to make missing links on my master sheets - these are very time consuming.

You may safely ignore these and answer 'NO' each time. (see 18)

I deleted some green cells and now have errors on the brown cells

NEVER delete cells only clear them. Go back to your previous version and repeat any changes made (Hint: save as 'new version' often)

I get strange results when I enter a percentage figure into ELECTRA (eg 20%)

Never include the '%' sign in any entry as Excel divides the number by 100

I get confusing warnings when entering data on the Coordintators A7 forms.

Please ensure you fill in the basic data concerning funding on the 8.1 and 8.2 forms first

How do I have different percentages for EU contributions in different years?

Select 'variable' on 8.3 percentage field and enter the pecentage figure you wish under each year

When I print out the forms I cannot read the numbers in the shaded boxes

Make sure that, if you are using a black and white printer, it is set to print in Greyscale. If it prints in Black and white only, depending on the printer there might be a problem.

When I try to start ELECTRA the system fails to run, or I get various virus alerts, what is wrong?

This can be because you are not running NT4.0/W98/W95 with Office 97 and associated Visual Basic installed. Your system manager may have configured your systems to not allow visual basic macros to run as part of a virus protection scheme. A stand alone computer with the above configuration should solve your problem.

18.

After exporting and importing partners spreadsheets I have residual external links left on the main 'co-ordinator's' ELECTRA work book. How can I remove them?

This replaces FAQ 9 - Any stray external links that are left can be removed by answering 'Yes' to the request to remake links when you load your main 'co-ordinator's' workbook and selecting the same source file as your main 'co-ordinator's' workbook.

The A3.1 form - Number of Person Months - does not reflect the number of person months attributed to permanent staff in the case of AC funded partners. Is this correct?

The spreadsheets are correct, the permanent staff person months should NOT appear on the A3.1 - Number of person/months, they should only appear on the the work package resources. They are deliberately left out of the costing forms as no cost is attributed to them.

16.

When I want to remove a partner, the system doesn't allow me to remove the lines in A3, A4 & A5?

Correct, the system will do this automatically. However you must clear the Partner ID entry in the green field in A3.1 for this to take effect.

11. I am a partner and received my sheets 8.1 - 8.4. Unfortunately after filling them in I find I need an extension form - How do I add it without losing my data?.

Send your completed Workbook to your coordinator who will import the work you have done. They will create the extension forms you need and re export them with your old forms. You can then complete the extensions without losing the data you have already entered.

5. Where does it calculate overheads for the AC (Additional Costs) case?

This is only done on the A3.2 form. The overheads on the 8.2 form should remain zero

4. Can I have the password for the sheets or programme?

No - sorry but the integrity of the worksheets must be maintained so that we can use the data for subsequent processing.

3. Can I have the password for the workbook?

Yes - it is null(nothing), you only have to select unprotect for it to happen. PLEASE do not edit the names of the spreadsheets, this will have undefined effects.

1. Which version should I be using?

ELECTRA 2000 should only be used for projects from the second call onward that are now starting to be negotiated. You can import files that may have already been created with Electra version 1.31. into ELECTRA 2000. However, for amendments to existing contracts from the first call, you should continue to use Electra 1.31. If you need a new copy of Electra 1.31 see your Project Officer.
