Application Forms for Individual Fellowships
The application forms are available under 4 formats:
Each option is described below to help you to select the most suitable format.
1. ProTool forms - These forms are suitable for electronic and paper submission
ProTool (Proposal Preparation Tool) is the free software tool provided by the Commission that assists the applicant in making the administrative form. It is valid for any FP5 proposal. The relevant ProTool forms must be implemented (pluggable elements).
ProTool allows you to:
- fill in and save your administrative data
- check and validate data (generation of a validation file: errors, warnings)
- generate the PDF versions of the forms with your saved data in order to print them if you intend to submit your proposal on paper (or just have a paper backup).
- request a digital certificate and prepare the complete electronic proposal file if you intend to submit your proposal by e-mail or by upload ("electronic submission").
What are your needs?
Advantages of electronic submission:
- the new rule ("proposals must arrive before or on the day of the deadline") makes it very attractive; you can prepare the administrative part of your proposal and solve the IT matters (download of ProTool, request of certificate…etc.) far in advance but you have more time to improve the technical part of your proposal: even when sending your proposal very few days before the deadline, you are sure it will be received on time by the Commission.
- you have an immediate feedback in case of failure of sending (e-mail or upload), an additional feedback on each part of the electronic proposal (like attached files) and later only the official acknowledgement of receipt common to paper submission.
- once you have ProTool (and a class II certificate), you can use them for other FP5 proposal (submission of a Marie Curie proposal or submission of any other FP5 proposal).
2- PDF forms (Portable Document Format) - only suitable for paper submission.
With Adobe Acrobat Reader 3.02 or above (free of charge) you are able to fill in the forms on screen and print them page by page but you cannot save the file with your encoded data (unless you have Adobe Acrobat).
You can use the PDF forms for paper submission only: for electronic submission only ProTool forms are relevant. Note that if you have already ProTool (and the relevant ProTool forms) you don't need to download the PDF forms: ProTool can generate the PDF version of your application forms (with save encoded data) that you can print for paper submission or for your paper backup…etc.

3- Word97 forms - only suitable for paper submission
You can use the Word97 forms for paper submission only: for electronic submission only ProTool forms are relevant. However this format is not recommended by the Commission because local format settings may strongly modify the original layout of the official forms: the administrative part of your application may then be difficult to read and badly marked by the independent experts. If you intend to use it anyway, we encourage you to check that the original setting has been kept e.g. by comparison with paper or PDF forms.

4- Paper forms
The applicant may use the paper forms annexed to the paper version of the relevant Guide for Proposers. If possible, please fill in the forms by typewriter.
