Deliverables
This task will include a set of short -term missions, which will be organized in order todeepen the knowledge about each of the participating institutions in the EVCA project. This task will start within the kick-off meeting in which the Partners will present their organization, individual strategy and achievements in EVs research. The first meeting, hosted by UNL, will be followed by guided visits to its lab facilities. The two other short-term visits to the Twinning partners (Institut Curie and CIC BioGUNE) will follow the same model and take place in the first semester of the project. These short-term missions aim at:- presenting the organizational models, track-record and strategy of the EVCA Partners;- deepening the preliminary SWOT analysis of the EVCA research at UNL;- benchmarking the Twinning partners for establishing the excellence standards and indicators.
Data Management Plan (opens in new window)"An Ethics and Data Management Plan (EDMP) will be delivered (resourcing to DataManagement Plans Creator - Argos OpenAIRE), and will be updated at the end of the project. This plan will be implemented in accordance with the EC Open Research Policy and will be regularly monitored by the PC. This EDMP will be a ""living document"" in which information can be updated whenever necessary, namely when significant changes occur. Any data security and ethics issues (e.g. personal data) will be duly foreseen and adequately addressed beforehand. In order to ensure that the project complies with its own DMP, its principles and rules will be largely communicated to the partners, through a designated Ethics and Data Manager to the project. The plan will discuss the below items: 1. Data SummaryWill you re-use any existing data and what will you re-use it for? State the reasons if re-use of any existing data has been considered but discarded.What types and formats of data will the project generate or re-use?What is the purpose of the data generation or re-use and its relation to the objectives of the project?What is the expected size of the data that you intend to generate or re-use?What is the origin/provenance of the data, either generated or re-used?To whom might your data be useful ('data utility'), outside your project? 2. FAIR data 1.1. Making data findable, including provisions for metadataWill data be identified by a persistent identifier?Will rich metadata be provided to allow discovery? What metadata will be created? What disciplinary or general standards will be followed? In case metadata standards do not exist in your discipline, please outline what type of metadata will be created and how.Will search keywords be provided in the metadata to optimize the possibility for discovery and then potential re-use?Will metadata be offered in such a way that it can be harvested and indexed? 1.2. Making data accessibleRepository:Will the data be deposited in a trusted repository?Have you explored appropriate arrangements with the identified repository where your data will be deposited? Does the repository ensure that the data is assigned an identifier? Will the repository resolve the identifier to a digital object? Data:Will all data be made openly available? If certain datasets cannot be shared (or need to be shared under restricted access conditions), explain why, clearly separating legal and contractual reasons from intentional restrictions. Report on EVCA R&I Management benchmark (opens in new window)Participants: All 2 short-term visits (STV, 3 days) of 4 members of UNL staff to Institut Curie and CIC BIOGUNE to benchmark the level of organization of the R&I management and human resources policies and identify best practices to transfer to UNL. This will include participation in ongoing activities at the partners (Research integrity).
Dissemination and Outreach Plan (opens in new window)Report on the below activities:1) Through a comprehensive mapping of the relevant events, together with successfulcommunication activities and the availability of relevant materials (scientific articles or posters on the project methodology, initial findings and project outputs), the presence of UNL, alone or with the Twinning Partners will be duly guaranteed to foster project’s awareness and dissemination. Additionally, relevant Events (including the EVCA final Conference) will be organized back-to-back with other events, whenever possible.2) This Plan dissemination and outreach plan (DOP) underlines the strategy for the project communication and outreach activities to be followed by the consortium. For the development of this plan an additional exhaustive list of European and international institutions (e.g. policymakers, health institutions, research and academic organisations and patient organisations) will be mapped to identify potential end-users of the results and partners for further research projects to be developed within and beyond the project. The DOP will: i) guarantee a high visibility and effective promotion of the project, ii) maximise the impact of its activities, and iii) ensure a proper and efficient dissemination of its results within and outside the consortium and beyond the end of the project.This document will provide the framework for the impact evaluation of the covered activities and will be regularly updated / adjusted along the project‘s execution. This task will also ensure the nurturing and enlarging the networks and collaboration with hospitals, patient groups and industry.3) EVCA events and Final conference Report
Management agreement (opens in new window)Report on strategy agreements made in first meeting in UNL where all participants and other interested partners are encouraged to participate. Management agreement for running EVCA will be outlined. The purpose is to ensure the project‘s activities and results are delivered in a transparent, effective and efficient manner, according to the highest quality standards, and a lean decision-making process. The Project Coordinator (PC, R. Matthiesen), assisted by the Project Co-coordinator (P. Pereira) and the Project Manager (PM, to be hired) will ensure at least a monthly communication within the consortium (via email, telephone, skype, teleconferences and physical meetings) with WP leaders, within each WP and also inter WP for a close and straight-forward articulation, as well as the communication with the EC. The communication with external stakeholders is covered in WP6. This task will also perform the monitoring and report on the overall project execution. An annual internal assessment of the project implementation will be performed together with the EAB to identify, anticipate and correct any possible deviations. Furthermore, we aim at defining and implementing a set of standard and systematic procedures, including a Quality and Risk Management Plan for continuous risk assessment.This will ensure the compliance with external and internal standards in force, as well as the assessment and monitoring of the project‘s progress. A Research Quality Assurance System will be established for UNL.
Until Month 3, the visual identity of the project will be defined along with the EVCAcommunication and promotional toolkit, in order to launch a highly recognisable branding and successfully convey information about the project. The project website will be established and maintained with information about the aims, structure and activities of the project for external dissemination, serving also the internal communication channel within the consortium. EVCA will resource social media in order to outreach and increase the engagement around the project, and its impact. A Wikipedia page to be developed.Videos and reports of published papers and collaborations with industry will be communicated.To build a virtual HUB on EV research area, to share general and scientific information and facilitate translational research projects within the Partners‘ consortium and beyond. This HUB would also serve as an online networking tool and repository of individual and joint publications of the consortium partners, and connected stakeholders, to promote cross-fertilization and reinforce current collaborations.
