Resultado final
Our events have the goal to attract stakeholders from all target groups mentioned above. To do that sufficient attention should go to agenda setting that considers the goals that are laid out and to find the right balance between the topics discussed, and which panel members, moderators and keynote-speakers are to be invited to come speak at our event. Not only does a balance need to be find in terms of content but also in the background and status of the speakers, our event wants to attract people with different views on the issues, from different backgrounds, keep diversity in mind and strike a proper gender balance. The event is planning on attracting speakers from government, industry, and research.Special attention will go to the keynote speaker(s), this should be somebody who embodies the goal of our event and who has real experience of turning research into applications and who plays a bridging role at European level.

Networking activities (se abrirá en una nueva ventana)"The project aims to facilitate collaboration and knowledge exchange across various sectors by creating an exhibition area where stakeholders can showcase their work and engage in conversations related to the conference theme. This area, which we will refer to as the ""Collaboration Hub,"" will provide an opportunity for different target groups to meet, network, and foster new connections in innovative and interactive formats. The Collaboration Hub will not only promote innovation and knowledge exchange but will also encourage ongoing collaboration beyond the project period. This on-site activity will only be available to conference participants."
A separate website dedicated to our event will be made. The website will be built in dialogue with the event agency. We chose not to use the official website of our department or the Belgian Presidency, because a separate website would potentially gain more attention and eventually more participants. However, all the details of our event are communicated clearly on the official Presidency website as well, and a link to the EU digital website to discover more information. The website will be available for a couple of months after the ending of our event, at least until the end of the duration of the Belgian Presidency.This website will in effect also serve as a type of limited conference app where people can access information on locations and timetables, but also make it easy to read background information of the scheduled speakers. It will be accessible in mobile format.
Video stream (se abrirá en una nueva ventana)A video live stream will be set-up for the main lectures and discussions of the EU digital event. We consciously choose not to stream the entire event, as we want to encourage participants to join the event physically. We believe this will fully reach the key goals of our event, such as fostering networking possibilities. This streaming possibility will be made available on a platform that secures a safe connection but one that can also create possibilities to engage with the audience at home. Participants have the possibility to sign-up for streaming possibilities beforehand. After our event, the streamed lectures will be made available on the website and a link is sent to all participants – also those who attended physically.
Promotional Video (se abrirá en una nueva ventana)A promotional video with involvement of the three relevant regional ministers and a EU representative will be set up, this will be used both for promotion of the event and as an introduction during the event itself.
Registration platform (se abrirá en una nueva ventana)A platform where the attendees can sign-up is made available as from September 2023. This allows attendees to consider whether they will join physically or online. The platform allows the organization to keep track of the number of attendees and of the contact details of the attendees if needed. The registration platform gathers all data which will be used to print badges at the event venue, what are dietary restrictions and if photos can be published or not according to GDPR rules.
Given the goals, the project seeks to present an interesting agenda that has something to offer for alle target groups and is a balance between topics focussed on a certain technology (for example AI, Cybersecurity, Chip Technology, …), application area (for example agrifood, health and manufacturing), the practical workings of the programmes (for example on how to create successful cooperation between projects of both programmes) and policy discussions (for example how can Europe’s Digital Decade as a strategy steer the framework programmes).Besides a plenary part our event will consist of break-out rooms where different discussion methodologies can be used. Depending on the subject and what we hope to get out of it, different participation’s methodologies can be used.
Event document with recommendations and insights (se abrirá en una nueva ventana)After the event itself, the partners involved will work on the drafting of an 'event document' bringing together the recommendations and insights on the topic. This will be disseminated in the communication after our event.
