Report and Further Recommendations of the Advisory Board

The advisory board will participate in project events, and their participation will be financially covered by the project. The advisory board will meet in total three (3) times, at the same time as the project steering team described above and will give input to the project meetings. The advisory board will conduct a report by M23, considering the survey results of M22, including an evaluation of the project and further advice for HEI and research institutions and recommendations on policy level.

Publication of Career Development Services’ map including job pathways and opportunities in several countries especially the countries of the consortium members

The WP team will expand the network of career development services and job opportunities for RRs. To achieve this goal the WP team will utilise the three years’ experience in guiding more than 60 RRs at UNIBI and UGOT and the preliminary results of the previous projects BRiDGE and SCIREA, funded under Science4Refugees (S4R), (SwafS-26-2017), as well as the adopted concepts to enhance career development in EURAXESS institutions. Initially, it will analyse and map existing career development services, in order to provide better conclusions and suggestions for the mentoring activities in this WP and in the trainings in WP 3. The task team will support overall 300 RRs in this WP. It will use, if possible, preliminary results from the BRiDGE and SCIREA projects to adjust its methods in order to achieve higher impact. Therefore, WP2 is an integral part of the whole project and builds the base for the implementation of other WPs. The objective of this task is to identify in all participant countries the already existing career development services and career opportunities in the academic and non-academic sector that could be of particular relevance for the BRiDGE II targeted RRs. Emphasis will be given to the collection of good practices and the application of the collected information in the case-to-case work with RRs. Also, metadata, as the collection of best practices by previous projects and organisations, such as the Guide “How to host” by the Scholars at Risk Network (SAR) and the (preliminary) results of BRiDGE and S.U.C.RE are going to be used. Additionally, this mapping exercise will include all members of the EURAXESS Network (approximately 500 organisations in 40 countries) order to complete the information needed for guiding RRs to steer their career effectively. The task team will adjust the chart therefore made in the project BRiDGE by using REFLEX Researcher Career Development Scheme Application (the REFLEX App), a free access EURAXESS application developed to help the research institutions, researchers and professionals assisting researchers to facilitate the process of researchers’ career development, created under the REFLEX project or other appropriate tools or databases to map all existing or potentially open services for the RRs. Through the mapping, the task team will facilitate in the next step the shared use of the accumulated advisory capacity by all consortium members and identify gaps for the specific needs of RR in the several EU and associated member countries.

Report on 300 Career Plan cases

The objective of this task is to develop academic and non-academic mentoring as a tool to guide 300 RRs and expand the network of career development services and job opportunities for RRs. The task team will first provide relevant information, tailored advice and coaching with the aim to support 300 refugee researchers and academic mentors throughout Europe in the 24 project months to develop a career plan with a promising perspective. The individual career plan will be developed gradually and will include the commitment of the RR, the mentor and the hosting institution. As a pilot the task team will analyse the existing practice at UNIBI, where the respective RR, the academic mentor, further assistants and case workers from the EURAXESS Service Centre meet annually to document and clarify the next steps for the case progress. They agree upon measures to be taken, support that is needed, career development measures and trainings to be offered etc. The high commitment is then in written, testified, and the annual plan for all sides binding. The career plan template will be tested in the network meetings of the academic mentors as described in task 2.3. As a next step, in order to expand the network of services for RRs and involve more institutions and academic and non-academic mentors in this, as well as in order to secure the results, the task team will focus on designing tools on further developing of the career plan for RRs, such as checklists and best practices upon frequency of meetings, measures etc. and guidelines for mentors on reflecting and deciding, if the respective RR is on a good path to return to academia or if the time should be used in developing skills for a career outside academia. These tools will be published on the Science for Refugees platform on M18 and will be tested in the trainings in WP3. As a next step, in order to expand the network of services for RRs and involve more institutions and academic and non-academic mentors in this, as well as in order to secure the results, the task team will focus on designing tools on further developing of the career plan for RRs, such as checklists and best practices upon frequency of meetings, measures etc. and guidelines for mentors on reflecting and deciding, if the respective RR is on a good path to return to academia or if the time should be used in developing skills for a career outside academia. These tools will be published on the EURAXESS platform on M18 and will be tested in the trainings in WP3 and in the case-to-case work as above described.

Update Dissemination Plan

The dissemination plan in Section 2.2 and as drafted in work package 4 and in D 4.3 will be fine updated in M10.

Public statement on eligibility and selection criteria

RRs with asylum status and an affiliation (a mentorship, a position, a fellowship, a project collaboration) with a research institution, higher education institution, company or other relevant entity will be eligible in participating in BRiDGE II. No further selection criteria will be applicable. Gender quota will be applied (50/50 men/women) in mentoring, training, internship and networking measures and events. A statement about eligibility and selection of RRs will be published at the beginning of the project - M2.

Report on the compliance with the Data Protection and Specific Ethic Requirements

Detailed information will be provided concerning the procedures that will be implemented for data collection, storage, protection, retention and destruction, and confirmation that they comply with the respective EU legislation. For this task the established Ethics Committee and Data Security Officer of UNIBI will be involved immediately by the task leader after the positive evaluation of the proposal, to achieve clearance in Ethics and Data Protection matters and to ensure the compliance, monitoring and guidance in these vital issues. The task team will seek a declaration on compliance or authorisation for collecting and processing personal data as described in the proposal. The declaration on compliance or authorisation will be kept on file. If no declaration on compliance or authorisation is required under the applicable national law, a statement from the designated Data Protection Officer that all personal data collection and processing will be carried out according to EU and national legislation will be submitted as a deliverable. Detailed information on the procedures for data collection, storage, protection, retention, and destruction will be submitted for clearance, as described above.

Preliminary Dissemination plan

The preliminary dissemination plan in Section 2.2 and as drafted in work package 4 will be fine tuned in M4.

Results of Dual Career case study

As a secondary activity the task team will work intensively on a dual career case study to gain insight on the dynamics and specific challenges dual career academic couples of RRs face and to propose solutions and best practices and raise awareness for active EURAXESS service centres and Dual Career Networks. Therefore, the expertise of the EURAXESS Dual Career Expert Group the OeAD, ETH Zürich and UGOT will be considered. Special attention will be paid to the four dual career cases of RRs at UNIBI in form of an interview per person: in total ten (10) interviews. The interviews will be analysed in order to extract useful tools for RR-Dual Career couples. The identified tools and procedures will then be tested in the case study to examine their effectiveness.

Informed Consent forms

Detailed information will be submitted about the informed consent procedures of data use from the RRs to BRiDGE II officers that will be implemented in regard to the collection, storage and protection of personal data. Templates of the informed consent/assent forms and information sheets (in language and terms intelligible to the participants) will be kept on file. The following information will be included in the informed consent: i) a list of the data, which is going to be collected; ii) the risks for the safety, including the risks for their families and friends; iii) the potential benefits for the individual (high training, integration) and the social benefits; iv) the purpose of data collection and data usage. Copies of opinions and approvals by ethics committees or competent authorities for the research with humans (ethics clearance from the Institutional Review Boards and the national authorities of involved countries where RRs will be recruited) will be collected before relevant activities start and kept on file.

Course materials on the EURAXESS S4R website

The materials and courses outlined in work package 3 will be further developed after the tests and published on the EURAXESS e-Training platform for further use by RRs, mentors, institutions and EURAXESS members. Links to the platform and to these courses will be provided at Science4Refugees section on the EURAXESS portal.
