Due to the importance of the integration of ERICs at different regional, national and pan-European scales being based on their distributed nature, two specific topics will be covered in this task and will result in reports to be presented during the ERIC FORUM seminars: • Integration of ERIC development into pan-European e-Infrastructures, particularly in the new European Open Science Cloud-EOSC • Creating synergies between ERICs and the (Regional) Research and Innovation Strategies for Smart Specialisation-RIS3

Report on proposed approach and dashboard for common ERIC KPIs

Task 4.1 is designed to guide ERICs in identifying KPIs to best measure how they perform relative to their own mission goals and how they compare to other ERICs in delivering their mission.

Best practices guidance document on contracting, insurance and intellectual property for ERICs

This task will assemble a set of best practices regarding contracting such as with users suppliers intellectual property policies and insurance Through targeted interviews the key issues for each item will be investigated and the solutions if any be recorded Through debate in the forum as set of best practices will be developed framed such that future ERICs can benefit from this knowledge by adopting solutions into their standard terms for users operating structures and governance Rules of Procedure

to deliver a final report for dissemination as well as the technological and innovation reports These annual ERIC FORUM seminars will be organized over two consecutive days with breakout sessions focusing on specific issues to address one or two critical questions as mentioned aboveIt is expected that about 150 participants will attend these seminars Representatives of the ERICs including AoM chairs and ERIC Directors Representatives of ESFRI of national governments of national funding agencies of major research organizations of the EU Parliament STOA the Council and the Commission DG RTD Scientific Challenges and Infrastructure Unit DG Regio and any other relevant stakeholder depending on the topics covered regulators international partners regional authorities etc Representatives of users communities

Guidance document on GAAP for ERICs

This task will support infrastructures managers to develop their financial accounting and reporting in a transparent and harmonized manner, by providing a guidance document on the use of Generally Accepted Accounting Principles (GAAP).

Report and proposal for model sustainability business plan for ERICs

The activities of Task 44 will include Adaptation of CANVAS modeling tool Mapping of existing business models and analysis of their performance Two restitution workshops the first M22 aimed at educating on business modeling and related survey tools the second M40 aimed at validating the conclusions and achieve the necessary consensus Recommendations based on the analysis of the various business models and on the output of task 41 42 and 43 recommendations for long term sustainability will be made the principles of which shall be applicable to all ERICs regardless of their scientific backgroundTask 44 will indirectly contribute to the development of the SEI ERIC Framework within Task 43 by systematically improving the policyfundingresearchdissemination continuum The outcome of Task 44 will be Deliverable D44 Report and proposal for a model sustainability plan for ERICs

Best practices guidelines in employment and secondment for ERICs

This task will map the employment and secondment policies of ERICs as well as gather information on operational and governance issues that arise from these activities By surveying online the community a report on common practices and issues faced will be created Based on this a set of best practices will be developed and through a consultation process with the forum members will be adopted as a guidance document

Report on harmonizing the presentation of ERIC Activity Reports for impact assessment section

The following activities will be performed within Task 45 Analysing of previous ERIC Activity Reports Development of a common approach to a Monitoring and Impact Section of ERIC Activity Reports Development of a functional layout for presenting a Monitoring and Impact SectionActivities within Task 45 will be carried out in close coordination with WP5

Report on SEI ERIC Framework

Activities in Task 43 are designed to support ERICs by developing an ERICspecific framework for socioeconomic impact SEI assessment This will be achieved by Mapping and analysing of existing SEI systems within the ERIC network Understanding the current developments for establishing a standardised international approach Development of an ERICspecific SEI frameworkThe result of Task 43 will be Deliverable D43 Report on SEI ERIC Framework

Report on practices and challenges in recruitment for distributed ERICs

This task will investigate the main elements of and challenges faced by distributed infrastructures in the recruitment process including policies on conflict of interest cost of living issues international recruitment and mobility and any experiences of difficulties in recruiting top talent This will be conducted by online survey with targeted interviews for interesting cases

Report on the best scientific evaluation practices for pan-European RIs

Task 42 is designed to Research inventory solutions currently considered by the ERICs Benchmark solutions in the international landscape Define a common set of evaluation criteria also involving users representatives Define Terms of Reference for the composition and procedures of the evaluation panel Identify possible common solutions at least common inside each ESFRI cluster Test the solutions during the project and compare across ESFRI clustersThe result of this task will be Deliverable D42 Report on the best scientific evaluation practices for panEuropean RIs

Final Draft proposal for a governance model for the ERIC Forum

WP2 will meet regularly both in face-to face meetings and by means of telephone and video conferences. Initially WP 2 will consider the foreseen actions of the Forum and the corresponding needs. Subsequently it will analyse the governance structure of already existing entities (e.g. associations, group of interests etc.) representing research infrastructures in Europe. If necessary, specific meetings or interviews with appropriate experts (e.g. coming from above mentioned entities) will be organised. Finally, the WP2 will draft a proposal for a governance model (possibly: statutes) considering the needs of the Forum and the outcomes of the previous analysis.

This task will map the communitys approach to quality in research and their approach to ensuring maximum robustness and reproducibility of researchA survey approach will investigate the main drivers of variability that affect each infrastructure their use of quality control and assurance measures whether they conduct joint quality efforts with other infrastructures and their remaining issues in the domain of quality

ERIC Forum’s repository for internal communications

In this task, the task leader, together with the partners involved in the development of the practices and policies in WP3 and WP4, will set-up and make publicly available an online toolbox including the guidelines with best practices related to HR management and recruitment procedures, membership fees and in-kind contributions regimes, budgeting and financial reporting, procurement, VAT exemption and economic activities, as well as to socio-economic impact assessment and sustainability, scientific evaluation and reporting (D5.5).

Dissemination and Outreach Activities

The projects dissemination plan presented in this proposal section 22 will be updated and further detailed in D52 It will include the tools and actions foreseen to inform and increase the awareness among the ERIC Forums stakeholders about the main outputs of the project All projects deliverables will be translated and tailored to the various target audiences and specific messages will be produced for different contexts and stakeholders with the goal of encouraging awareness about projects outcomes and of promoting its major activities Specific meetingsconferences with a dissemination goal D56 are also foreseen including the participation in events such as the ICRI Conference and target events of the EU Presidency Outreach and dissemination events will involve the main projects stakeholders ie National Ministries EC representatives RIs and ERICs management and administrative personnel

ERIC Forum’s Website

The website will be set-up and implemented in the first months of the project, and will be regularly managed and updated throughout the whole period of implementation.

Data management plan

This tasks will deliver the ERIC Forum DMP, including information on: - the handling of research data during & after the end of the project - what data will be collected, processed and/or generated - which methodology & standards will be applied - whether data will be shared/made open access and - how data will be curated & preserved (including after the end of the project). The DMP will be produced in line with the FAIR principles (findable, accessible, interoperable and reusable), and with attention to the ethical requirements states in WP7.

Online toolbox publication

In this task the task leader together with the partners involved in the development of the practices and policies in WP3 and WP4 will setup and make publicly available an online toolbox including the guidelines with best practices related to HR management and recruitment procedures membership fees and inkind contributions regimes budgeting and financial reporting procurement VAT exemption and economic activities as well as to socioeconomic impact assessment and sustainability scientific evaluation and reporting D55
